Financial Advisor

Administrative Assistant

We are looking to hire an Administrative Assistant to work directly with our leadership team to support the success of the firm through outstanding attention to detail, follow-up and organization.

The ideal candidate would have prior experience working in a professional atmosphere and have a desire to add value to our team by managing our company’s general administrative activities and providing support to our team.  This is a hands-on position with involvement across all departments. Ultimately, a successful candidate should ensure the efficient and smooth day-to-day operation of our office.

Responsibilities:
  • Manage main lobby and greet visitors.
  • Help the New Business Manager process and follow business through until placement
  • Assist the Marketing Manager in coordinating logistics of events
  • File documents electronically in Laserfiche
  • Responsible for the preparation and execution of regularly scheduled reports
  • Liaise with executive leadership to handle requests and queries from advisors
  • Maintain office supplies and inventory
  • Coordinate and execute advisor lunch meetings
  • Support special projects as needed
  • Other general administrative duties including but not limited to: answer and direct office phone calls, coordinate schedules and prepare forms.
Qualifications:
  • High school diploma or equivalent. Associate or college degree preferred.
  • Proven administrative experience in a related field.
  • Superior organizational and problem-solving skills. Ability to multi-task, make sound decisions and meet deadlines.
  • Strong attention to detail and accuracy.
  • Knowledge of office management systems and procedures.
  • Excellent interpersonal skills and ability to work as a team member.
  • Strong initiative, ability to learn quickly and work independently.
  • High standards of professionalism, strong work ethic.
  • Proficiency in MS Office.
